Forms
Forms are used in the Hintbox to give whistleblowers the opportunity to report information on various topics. In addition to the Whistleblower Protection Act, you can also use various forms to submit reports for the Supply Chain Due Diligence Act, complaints procedures in accordance with the General Equal Treatment Act (AGG) or submission of data subject rights in accordance with the General Data Protection Regulation (GDPR) and much more. By creating different forms, the start page of your Hintbox could look like this.
Create forms
To create a form, first navigate to the form administration.
Click on "New form" in the dashboard.
Fill in the fields to add a form.
Form name: The form name is visible internally.
Title: The title of a form appears on a button if several forms are assigned to one area.
Area: Each form can be assigned to an area. The area appears as a button on the start page.
Click on "Add form".
The new form has been added.

Edit form
Each form can be edited. To do this, navigate to the form administration.
Click on the editing pencil next to the relevant form.
The form title can be changed.
The area to which the form is assigned can be changed.
The form can be displayed in other languages.
By clicking on the three dots, you can select the form title, the entire form or the Active step be translated.

You must confirm all changes to the form by clicking on "Save".
Click on "Go to overview" to return to the form administration.
Delete form
A form can be deleted at any time. To do this, first navigate to the form administration.
Then click on the recycle bin.
Enter the confirmation text in the field.
Click on "Delete permanently".
Activate form / change status
The status of a form can be changed at any time. To do this, first navigate to the form administration
A form in the hint box can be in one of the listed statuses.
Public: Visitors to the website can use this form.
Private: Visitors to the website cannot see this form. It can only be accessed via the form link and can be used by all visitors.
Private internal: Visitors to the website cannot see this form. It can only be accessed via the form link and can only be used by internal, logged-in users (readers, managers & admins).
Deactivated: The form is deactivated.
Draft: The form is in draft mode.
To change the status of a form, click either on "Change status" (if the form has the status public, private or private internal) or "Activate" (if the form has the status draft or deactivated).
Click on the desired status.
Click on "Save".
Export form
Forms can be exported as a JSON file. To do this, navigate to the form management.
Click on the button for the export.
The JSON file can be found in your download folder.
Import form
Forms can be imported as a JSON file. To do this, navigate to the form administration.
Click on the "Import form" button.
You can drag and drop the JSON file in, for example.
In the next step, you must select the area to which the form is to be assigned.
The form is imported and is in draft status. How to activate a form is here described.
If the imported form Data sources of the categories or clients you must update them in the form. To do this, you must edit the form.
The data source must be removed.
The data source must be added.
This process only needs to be carried out for the data source category and client, not for the legal texts.
Translate form
Each form can be translated. To do this, first navigate to the form administration.
Click on the edit button for the corresponding form.
Click on the three dots.
Choose whether you want to display the form title, the entire form or the entire active step (What is a step?) want to translate.
Select the languages in which the form, the title or the active step should be translated.
Click on "Translate now".
You can check your translation by clicking on the source language.
Click on the language in which you want to check the translation.
Check the Spanish translation.
Click on "Save".
Rename form
Each form can be translated. To do this, first navigate to the form administration.
To do this, navigate to the form management.
Change the form title.
Confirm the change.
Link to enforce anonymity
If the whistleblower system is called up with this URL, the anonymous submission of reports is enforced and it is not possible to enter contact data in a contact form. The contact form is then never output. The user also has no subsequent option to enter contact details in their profile.
To do this, navigate to the form management.
Click on the three dots in the form administration.
Click on "Copy link to enforce anonymity".
Automatic download of access data
Each form can be translated. To do this, first navigate to the form administration.
Click on the three dots.
Click on deactivate.
Click on save.
